• Group benefits included: Most contracts include perks like private VIP check-in, room upgrades, a private dinner, or other group events at no additional cost. These benefits vary by resort.
• Attrition clause: Every contract includes attrition, meaning you must release unused rooms by a specific date or risk being charged for them. I monitor all attrition dates for my couples and release rooms well ahead of the deadline so this is never an issue.
• Flexible modifications: Reservations without flights can be modified without a fee. For example, if a guest cannot attend and someone else takes their spot, a name change is straightforward. Date changes are also possible as long as availability allows.
• Cancellation fees: If a room cancels after the contract is signed, there may be a cancellation fee associated with that individual reservation.

Option 2: The Flexible Group Destination Wedding Rate

A flexible group arrangement is a great alternative for smaller destination weddings. Specifically, if you expect fewer guests and want to avoid a full room block commitment, this option offers similar destination wedding group rate benefits without the deposit or attrition dates.

Here is what you need to know about flexible group destination wedding rates:

• Minimum of 5 rooms required: You must guarantee a minimum of at least 5 rooms to qualify for a flexible group arrangement.
• Rooms cannot be held: Unlike a room block, a flexible group cannot guarantee rooms for all your guests. The resort does not lock in availability, which means some guests may not find their preferred room category available when they go to book.
• No deposit required: The wedding couple does not need to put down an upfront deposit. Instead, each guest deposits at the time they make their individual booking.
• Rates can fluctuate: Since the resort does not hold rooms, rates can change at any time. Each guest could end up paying a different amount depending on when they book. For this reason, we encourage all guests to book immediately to secure their spot before the resort sells out and rates increase.
• Per-room discount: Flexible groups can receive a discount ranging from $50 to $225 per room depending on the total cost of the reservation.
• No group-wide penalties: The only penalties are on individual bookings, not the group as a whole.
• Group benefits available: You can still receive group benefits, but most resorts require a minimum of 10 rooms to unlock them.

Which Destination Wedding Group Rate Option Is Right for You?

As a general rule, if you are expecting 10 or more rooms I recommend going with a full group contract. Furthermore, you will save more money in the long run and receive significantly more benefits with a room block than with a flexible group arrangement. The locked-in rates, complimentary rooms, and group perks add up to real value for couples with larger guest lists.

On the other hand, if you are planning a smaller destination wedding of 5 to 9 rooms, a flexible group arrangement may suit you better. In that case, you avoid the deposit requirement and attrition clause while still receiving some group pricing benefits.

It is also worth noting that some resorts have unique contract structures that differ from the standard industry model. Hotel Xcaret Mexico, for example, requires couples to sign both a room contract and a separate wedding contract. The minimum room requirement also varies depending on the day of the week.
